1. Introduction

Voice Capture ("we", "us", "our"), operated by Genius Labs, provides a voice transcription platform for surveys and research ("Service"). This Privacy Policy explains how we collect, use, and protect your personal information when you use our Service at voicecapture.ai.

2. Information We Collect

2.1 Account Information

When you register, we collect your email address and password (hashed). If you subscribe to a paid plan, we collect billing information through our payment processor (Stripe).

2.2 Audio & Transcription Data

When survey respondents use the voice widget, we temporarily process audio recordings to generate text transcriptions using Groq or OpenAI, depending on the configured transcription path. If processing fails, audio may be sent to the fallback provider. Audio files are processed in memory and are not permanently stored on our servers. Transcriptions are stored in your project database.

2.3 Usage Data

We collect anonymized usage metrics (response counts, feature usage) to enforce plan limits and improve the Service. We use Google Analytics (GA4) to understand how visitors interact with our website.

2.4 Chat Data

If you use the AI help chat, your messages are processed by Anthropic's Claude API to provide assistance. Chat history is stored to maintain conversation context.

2.5 Connected Applications

When you authorize an application such as ChatGPT, your requested tool results are sent to that application. These can include accessible project names, identifiers, configuration, response counts, installation code, and account or organization plan and credit information. If response review is enabled for your connection and you request it, results can also include transcription previews, individual transcriptions and response or session identifiers. The current MCP tools do not transmit raw audio or audio storage links.

If SurveyCoder analysis is enabled and you explicitly approve a selected batch, its transcripts, response identifiers and question context are sent to your configured SurveyCoder account. This creates an analysis project, may consume SurveyCoder credits, and uses SurveyCoder's existing coding providers, including Anthropic. Analysis results return to the application you connected. SurveyCoder stores the analysis under its own retention and deletion policy.

You can review and revoke application authorizations in Settings > My account. Revoking access does not delete information already returned to that application or previously sent to SurveyCoder. Connected services handle those copies according to their own terms, privacy policies and your account settings. Authorize a connection and request data only when you are permitted to share it with that destination.

3. How We Use Your Information

• Analyze usage patterns to improve the platform

4. Third-Party Services

We share data with the following processors, solely to provide the Service:

• Supabase (EU) -- Authentication and database hosting
• Groq -- Audio transcription when configured
• OpenAI (US) -- Audio transcription (Whisper API), and requested tool results when you connect ChatGPT
• Anthropic (US) -- AI help chat (Claude API)
• Stripe (US) -- Payment processing
• Railway (US) -- API hosting (Data Processing Addendum signed by both parties, effective 9 October 2026)
• Google Analytics (US) -- Website analytics

We do not sell your personal data to third parties.

5. Data Retention

• Audio recordings: Processed in memory, not permanently stored
• Transcriptions: Retained until you delete your project or account
• Account data: Retained while your account is active, deleted upon request
• Billing data: Retained as required by law (typically 7 years for tax records)

7. Security

We implement industry-standard security measures including HTTPS encryption, JWT-based authentication, rate limiting, CORS protection, and Row Level Security (RLS) on our database. Access to production systems is restricted to authorized personnel.

We use essential cookies for authentication and session management. We also use Google Analytics cookies to understand website usage. See our Cookie Policy for details.

9. Children's Privacy

Our Service is not intended for children under 16. We do not knowingly collect data from children.
